Terms and Conditions
These Terms and Conditions are set out on the basis to which Village Accommodation Group will provide accommodation and other products and services to guests. By making a booking with us, the guest agrees to comply with these Terms and Conditions.
Village Accommodation Group includes Astelia Apartment Hotel, Boulcott Suites, Courtenay Village Apartments, Ohtel Auckland, Ohtel Wellington, Willis Village Urban Garden Apartments.
Check In and Out Times
Astelia Apartment Hotel, Courtenay Village, Willis Village
Check In: From 2pm, Check Out: Before 10am
Boulcott Suites, Ohtel Auckland, Ohtel Wellington
Check In: From 3pm, Check Out: Before 11am
Reception Hours
Our Customer Service team can be contacted on 0800 50 80 25, 24 hours a day, 7 days a week.
- Astelia: 8am – 10.30am and 1pm – 7pm daily
- Boulcott Suites: 7am – 9pm weekdays and 8am – 9pm weekends /public holidays
- Ohtel Wellington: 7am – 9pm weekdays and 8am – 9pm weekends /public holidays
- Ohtel Auckland: 24 hours
Courtenay Village and Willis Village do not have reception or staff onsite.
Arrival and Payment
Properties with Receptions
For security purposes a valid credit card and ID will be required at the time of check in. If a credit card is unavailable, then a $500 cash deposit will be required as a bond.
Please note that all accommodation charges must be settled upon arrival (unless they have already been prepaid). If you are arriving after reception has closed, your nominated credit card will be charged for the total accommodation cost, unless charge back has been authorised for your booking.
Properties without Reception
Payment will be taken at the time of booking, unless charge back arrangements are approved and in place.
Credit Cards
We accept AMEX, Visa, Mastercard. All credit card transactions incur a 2.5% credit card surcharge fee.
Bond
Please note that some bookings may be subject to a security bond of $500.00. This will be refunded after departure and once housekeeping has checked the room, to ensure there are no damages or issues.
Lock Box
All bookings will be provided lock box details in case of a late arrival or for properties without reception facilities.
Cancellation Policy
Flexible Cancellation Policy: Cancellations after 2pm one day prior, will result in a cancellation fee of the entire reservation. Failing to call or show before check out (11am) after the first night will result in the cancellation of the remainder of the reservation. No Shows are subject to a cancellation charge of the entire reservation.
Non Refundable Cancellation Policy: Rates can be charged in full at any time prior to arrival. Any cancellations, including no shows, will result in a charge of the entire reservation. Non refundable rates are also non transferable.
For bookings made via third party websites or travel agents, please contact the website/agent directly to change or cancel a booking.
The applicable cancellation policy above will depend upon the rates selected when booking.
Pricing
All pricing includes GST of 15%.
Age Policy
All reservations received must be made by persons over the age of 18 years. Any person under the age of 18 years must be accompanied by an adult at all times. Failure to comply may result in termination of the accommodation reserved.
Safety and Security Policy
Guest safety and security is our priority. Should you have any concerns during your stay, please contact the Customer Service Team.
All visitors are required to vacate the property by 10pm. After this time the only guests allowed to stay are the number as indicated in the booking. Failure to adhere to this may result in full termination of the accommodation.
Subject to the Innkeepers Act 1962, all guests are advised to safely secure their valuables within the property’s safe, located at the properties with receptions. Please be aware that the property is not liable for any loss or damage to vehicles parked within the facility or nearby car parking building.
Please note that all Village properties have a strictly no parties policy and requires all guests to observe quiet time from 10pm each night. We work with an onsite security team that will regularly monitor and manage any noise complaints. Call outs may incur a fine/and or eviction from the premises. All security callout costs are on-charged to the party responsible, at $100.00 per call out.
Smoking and vaping is not permitted at any time inside any rooms or apartments and only in the designated smoking areas.
No animals are allowed in any property with the exception of guide dogs, and small well behaved dogs within our Studio room at Ohtel Wellington.
Marketing Policy
Village Accommodation Group and Habitat Hotels & Apartments may from time to time send you marketing communications regarding our services and promotions. Should you wish to not receive any of these communications, you may opt out at the time of check in or you can unsubscribe at any time to these communications electronically.

It is the responsibly of the User to protect their computer systems from computer viruses and other harmful websites by using a firewall and up-to-date anti-virus software. It is also recommended that User’s data is regularly backed up.
These Terms of Use do not exclude the User’s rights to the Applicable Law.
Village Accommodation Group will not be liable for any direct, indirect, exemplary, punitive, special, incidental or consequential damages, or damages for loss of profits, business, use, bargain or goodwill, loss or corruption of data, or loss of savings, resulting from, or in any way connected to, the use of or access to, or inability to use or access the Website or any information presented on the Website or any goods or services provided through the Website as permitted by any Applicable Law.

Please read the following terms and conditions carefully before availing the accommodation member discount offer online. By participating in this offer, you agree to be bound by these terms and conditions:
Eligibility:
This offer is available exclusively to registered members of the accommodation provider’s membership programme.
Offer Validity:
The offer is valid for bookings made through this official website of the accommodation provider.
The offer is subject to availability and may be limited to specific room types and dates.
Discount Details:
The discount percentage or amount will be clearly specified at the time of booking. This will be a minimum of 15% off our best available online prices.
Booking and Stay Period:
The offer is valid for bookings made within the specified promotional period.
The stay period must be within the offer’s validity dates. Bookings made for dates beyond the validity period will not be eligible for the discount.
Usage Limitations:
The discount is non-transferable and cannot be combined with any other promotions, discounts, or offers unless expressly stated.
Cancellation and Modification:
Cancellation and modification policies for bookings made under this offer will be as per our specified standard terms and conditions.

Any changes or termination will not affect bookings made before the offer’s modification or termination date.

The accommodation provider is not responsible for any technical issues, errors, or malfunctions that may affect the availability or use of the offer.
These terms and conditions are governed by the laws of New Zealand and any disputes will be subject to the exclusive jurisdiction of the courts in Wellington.
